In these times of organizations trying to save as much as they possibly can, the Print Environment Assessment becomes more critical. The print environment is one of the last refuges for hidden costs. To review your environment on a one-time or regular basis, the Print Environment Assessment becomes a necessary tool to uncover a number of areas where cost reductions are possible.
PrintIT's Print Environment Assessments give department managers and supervisors the opportunity to understand their print environment based on teh cost of operation for the devices they select to use. The Print Environment Assessment Process
Step 1: Audit the Environment - The collection of data by the PrintIT team pertaining to the type and number of devices combined with page count data. Two collections are necessary (a couple of weeks apart) to establish a usage delta so that projections can be properly established.
The methods of data collection are as follows:
- Utilizing a method of gathering page count information currently endorsed by the City of Seattle, (i.e. HP WebJetAdmin or some other method in use)
- Gathering configuration sheets from each individual device
- Utilizing the PrintIT audit key and reporting tool
Step 2: Organize & Review the Data - The audit report provides data that allows for the development of recommendations regarding the devices identified.
The recommendations may include:
- A change in device positioning for more cost effective placement
- A brief tour of individual departments for analyzing physical locations
- Options for increasing productivity and efficiency
- Potential for other consolidation and optimization strategies
